Role Purpose
The Purchasing Administrator will support the procurement team in sourcing, ordering, and managing supplies and services essential for the company’s operations. This role ensures accuracy and efficiency in purchasing processes, supplier communications, and record-keeping, contributing to smooth supply chain operations.
Key Responsibilities
- Process purchase orders, ensuring accuracy and compliance with company policies.
- Maintain supplier records, contracts, and pricing agreements.
- Liaise with suppliers to confirm orders, lead times, and delivery schedules.
- Monitor stock levels and raise purchase requisitions when required.
- Support the procurement team in negotiating prices and terms with suppliers.
- Resolve invoice discrepancies in collaboration with accounts payable.
- Prepare and maintain purchasing reports and data for management review.
- Ensure compliance with company procurement policies and procedures.
- Assist in supplier performance reviews and audits.
- Provide general administrative support to the purchasing/procurement department.
Job Specification – Purchasing Administrator
Qualifications
- GCSEs in Maths and English (essential).
- Further education or certification in Business Administration, Supply Chain, or Procurement (desirable).
Experience
- Previous experience in a purchasing, procurement, or administrative role (desirable).
- Experience working with ERP/MRP systems or purchasing software (desirable).
- Knowledge of procurement processes and supply chain principles (desirable).
Skills
- Strong administrative and organisational skills.
- Excellent attention to detail and accuracy.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
