Operations Administrator
My client is a leading organisation based in Belfast, who are currently seeking an Operations Administrator to provide full administrative support to the team.
This is a Full-Time, 9 Month Contract to cover Maternity Leave. This may be extended or made permanent.
Working hours: Monday to Thursday 9am-5pm and Friday 9am-3pm.
With a salary of £27,000 per annum.
Job Purpose:
You will be responsible for administering, maintaining, collating and compiling data relating in a professional and timely manner as well as providing full administrative support.
Essential Criteria:
- Strong Administration experience within a similar role.
- Good computer literacy across a range of packages.
- Excellent communication skills both written and verbal with the ability to communicate with stakeholders at all levels.
- Ability to work on your own initiative as well as part of a team.
- Ability to manage and prioritise a busy workload.
Main Duties and Responsibilities:
- Monitor compliance with Working Time Regulations and customer maximum hour requirements – issuing timely daily manager alerts, recording actions and explanations.
- Maintain absence trackers, ensuring all necessary information is in place and populated.
- Complete work in a timely, accurate and scheduled manner to ensure the provision of an efficient, effective and value adding service.
- Effective teamwork and communication to ensure delivery of excellent department service.
- Weekly reconciliation of agency worker invoices and presenting to the Factory Manager for sign off.
- Updating working schedules on NTD as and when required.
- Completion of the following daily and weekly reports: Daily Timekeeping (highlighting lateness), daily Attendance List, daily Labour reconciliation, daily Absence, daily overtime and daily & Weekly Agency hours reconciliation.
- Recording of all absence, including holidays, on NTD, accurately and timely, for all production employees.
- Assisting Production Managers with managing holiday entitlement – providing holiday balances and ensuring holidays are used within the calendar year.
- Monthly reporting of absence levels to Health & Safety department.
- Act as liaison with the Agency Worker Provider(s) and ensure provision of suitable agency/temporary labour as required on a daily basis (booking agency labour and organising replacements).
- Collate and audit all agency worker documentation to ensure in an ‘audit ready’ state and timely resolution of issues.
- Maintain an effective working relationship with internal and external customers.
- Work to ensure that the Company’s core values are actively promoted through all aspects of work.
- Any other duties as required.
