As an Onboarding Administrator, you will play a pivotal role in supporting the Lead Onboarding Coordinator to ensure a seamless and thorough onboarding process for all new employees. Your responsibilities will include generating offer documents and overseeing pre-employment checks such as Security Clearance, Employment Referencing, and Occupational Health assessments. Additionally, you will maintain accurate records and input information into the firm’s HR system and personnel files. This position also offers the chance to engage in broader recruitment initiatives, providing valuable contributions to our team’s success.
This role sits with our recruitment team. Part of HR, we are highly regarded for our focus on direct recruiting, onboarding, and talent retention. We operate across four key areas: fee earner recruitment, lateral hires, business services recruitment, and early careers.
A bit about the role
Responsible for completing pre-employment checks for employees (for example, employment references and medicals)
Producing contracts of employment, offer letters and other legal documents for new joiners
Accurately adding new employees onto the firm’s HR database
Creating/maintaining accurate records within personnel files for all new starters
Adding candidate data onto the firm’s systems
Liaising with other internal teams such as payroll, IT and Lead Legal PAs to onboard new joiners
Ensuring compliance with the firm’s GDPR regulations when handling candidate data
Producing terms of business with external recruitment agencies and handling correspondence with these
Keeping the team tracker up to date with progress on each new starter’s onboarding process on a daily basis
Processing invoices
Supporting ad hoc projects and tasks as required
A bit about you
Previous experience of working in a data entry or/and an administrator role
Experience of working in a law firm or professional services would be advantageous
Proficient with Microsoft Office packages (Excel and Word)
Strong communication skills
Excellent time management skills
Proven organisational skills
Excellent attention to detail
A positive attitude as well as being a strong team player
