About the Role
We are seeking a highly organised and proactive Legal Support Assistant to join our Legal Support team. This is a client-facing role that requires exceptional communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced professional services environment.
Key Responsibilities
Client Relationship Management

Manage document production and ensure accuracy and formatting before submission to lawyers.

Handle client calls and messages professionally.

Maintain Interaction database with prospects, clients, and business development activities.
-
Keep up to date with client-specific protocols and provide guidance and training where necessary.
Administrative Support
-
Open and close files, maintain records, and produce engagement letters in compliance with firm standards.

Monitor key dates and ensure compliance procedures are current.

Support fee earners with business development activities, including pitches and presentations.

Manage diaries, travel arrangements, meeting agendas, and prepare supporting documents.

Produce and maintain Excel spreadsheets and internal newsletters.

Act as first point of contact for the team, ensuring exceptional client service.
Communication
-
Serve as a key liaison for fee earners and clients, ensuring timely and accurate communication.

Monitor emails and post, prioritising and drafting responses where appropriate.

Provide support across departments and participate in telephone rota.

Take meeting minutes and follow up on actions.
Financial Administration
-
Assist with billing, time allocation, and disbursements.

Process expenses and manage matter-related financial tasks including APRs, BACs, and TTs.
Processing & Compliance

Manage priorities and workloads to meet deadlines.

Maintain client and matter data, create data rooms, and handle online applications (Companies House, Land Registry, etc.).

Ensure compliance with firm-wide policies and procedures.
Customer Service

Arrange and attend team meetings, liaising with fee earners and managers.

Provide regular progress updates and offer assistance proactively.
Essential Skills & Experience

Advanced knowledge of document and case management systems.

Strong communication and client service skills.

Proven experience managing client-facing tasks and priorities.

Highly organised, methodical, and detail-oriented.

Ability to work independently and as part of a team.

Positive, adaptable, and discreet approach.
Technical Skills

(desirable) Previous experience in a legal or professional services environment.

Advanced proficiency in Microsoft Office.

Ability to manage multiple priorities and produce high-quality documents and communications.
