The postholder will be expected to work across the Fermanagh and Omagh District Council area to meet the needs of the post. Duration:Permanent Hours of work: PartTime;22.2hoursperweek (work pattern to be agreed upon appointment) Salary: Scale 4; SCP 9-13; £26,409 – £28,163 per annum pro rata Areservelistmaybemadefromthisrecruitment,fromwhichappointmentsmaybe made within the next 6 months across all services areas. Duties and Responsibilities Support the service through the provision of efficient and effective administrationsupportto includeproducingreports andgeneralcorrespondence,dealingwith enquiries, filing, recordinginformation and processing data. Screen, redirect and deal with correspondence for example, incoming telephone calls, emails,anddealwithenquiriesinrelationtoallkeyareasofworkwithinthedepartment. Provide administrative support to as directed in relation to specific reports or projects. LiaisewithotherdepartmentswithintheCounciltoensurealladministrativeandfinancial matters are dealt with efficiently and effectively. Organisemeetingsandeventse.g.,scheduling,issuinginvitations,establishingnumbers attending, booking suitable accommodation, venue, food etc. Attendandprovidesupportformeetingsandworkinggroups,includingpreparingagendas, takingminutes,producing timely,accuratewrittenrecordsintheform of notes andminutes as instructed and within agreed timescales. This duty will require attendance in person at alternating venues between Fermanagh & Omagh with evening hours subject to services needs. Ensure that the Councils procurement procedures are adhered to in respect of raising of purchaseordersandassociatedexpenditureinrelationtoarangeofserviceareafunctions. Check invoices, claim forms and process accounts forpayment. Provideresearchandadministrativesupportforserviceareaprogrammesofworkand projects as required. MakeoptimumuseofInformationTechnologyintheproductionofallletters,reports,papers, and research and in carrying out the range of duties attached to theservice. Assistindevelopingandimplementingappropriatemanagementinformationsystemsforthe assigned service areas and ensure that all relevant data is accurately recorded. Provideadministrativeandcustomersupporttootherareas intheDirectorateandassistwith reception on a cover basis as required. General To ensure full compliance with all Health and Safety at Work legislation in accordance with the CouncilsHealthandSafetyatWorkpolicyandallassociatedproceduresandguidanceandtobean advocate for high standards of Health and Safety performance. TocomplywithalltheCouncilsPoliciesandProceduresincludingtheEmployeeCodeofConduct and the Employee and Councillor Working Relationship Protocol. Tocomplywithemployeeresponsibilityinrelationtoallrecordsheld,created,orusedaspartofthe Councilsbusiness. Allrecords,paperorelectronic,arepublicrecordsandaccessiblebythepublic, with limited exceptions, under the Freedom of Information Act 2000, the Environment Regulations 2004, and the Data Protection Act 2018. TopromotetheCouncilsequalopportunitiespoliciesandavoidallformsofdiscriminationasbothan employer and a service provider. Toimplement,andadhereto,allFinancialandProcurementpoliciesandprocedures. Toundertakethedutiesofthepostatalltimesinamannerthatenhancesandpromotesthepositive image of Fermanagh and Omagh District Council.
