Job Summary

We are seeking to recruit a temporary part-time Band 3 General Secretary to provide administrative support within the Mental Health Management Offices based at the Downshire Site in Downpatrick. This role offers the opportunity to contribute to the effective running of Mental Health Services through high-quality secretarial and administrative support.

Key Responsibilities:

  • Provide comprehensive secretarial and administrative assistance to the Mental Health Management team.

  • Prepare, format, and distribute correspondence, reports, and meeting documentation.

  • Manage diaries, schedule appointments, and organise meetings as required.

  • Maintain accurate records and filing systems (both paper and electronic).

  • Handle telephone and email enquiries in a professional and confidential manner.

  • Liaise with internal and external stakeholders, ensuring sensitive and confidential information is managed appropriately.

  • Undertake any other administrative duties as directed by line management.

Essential Criteria:

  • A minimum of 4 GCSEs (Grade AC) or equivalent, including English Language.

  • Previous experience working in an administrative or secretarial environment.

  • Proficient in Microsoft Office applications (Word, Excel, Outlook).

  • Excellent communication and organisational skills.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

Additional Information:

  • This position involves handling sensitive and confidential material relating to Mental Health Services.

  • The post is temporary for an initial period of 3 months, with the possibility of extension depending on service needs.
