Overview:
As a Legal Mail Analyst / Specialist, you will be responsible for the accurate routing, triage, and categorisation of legal correspondence received by the client. Working within a high-volume, fast-paced environment, you will ensure that legal mail is processed efficiently and in accordance with established procedures. You will collaborate with Legal Mail Project Managers and other stakeholders to support smooth operations and uphold compliance standards.
Responsibilities:
Operational Processing
- Review and categorise incoming legal mail promptly and accurately, ensuring all correspondence is handled in line with company guidelines and legal requirements.
- Route legal mail to the appropriate teams or individuals based on established criteria and workflows.
- Maintain precise records and documentation of all mail processing activities, utilising document management systems and workflow tools as required.
Collaboration & Issue Escalation
- Work closely with Legal Mail Project Managers and other stakeholders to ensure seamless operations and effective communication.
- Identify and escalate any issues, anomalies, or complex cases in mail processing to the relevant parties for timely resolution.
- Support colleagues and contribute to shared team goals, fostering a collaborative working environment.
Process Improvement & Compliance
- Contribute to the ongoing refinement of mail handling processes, suggesting improvements to enhance efficiency, accuracy, and compliance.
- Ensure all activities comply with legal, regulatory, and company standards, safeguarding the confidentiality and integrity of legal correspondence.
- Demonstrate discretion and professionalism when handling sensitive or confidential information.
Experience and Qualifications
- Experience in an operational or administrative role; exposure to legal operations or compliance is advantageous.
- Familiarity with document management systems, workflow tools, or platforms such as Salesforce is beneficial.
- Strong attention to detail and the ability to manage high volumes of work with accuracy.
- Proven data entry and record-keeping skills, with a commitment to maintaining secure and accurate records.
- Legal degree and basic understanding of legal terminology and concepts is beneficial.
