Job Summary

Office Administrator (Temp)

My client is an industry-leading organisation based in Belfast, who are currently seeking an experienced Office Administrator to join their team.

This is a Full-Time, Temporary Position – with an immediate start.

Hours of work: Monday to Friday: 37.5 hours.

With an hourly rate of £14 per hour.

Job Purpose:

You will be responsible for providing a full range of administrative services, this will include assisting key stakeholders, teams, and other important partners with statutory reporting, data collation, and the preparation of essential business materials.

Essential Criteria:

  • 4+Years experience supporting senior leadership.
  • Strong experience with using Google Suite and Microsoft Office packages.
  • Excellent communication skills both written and verbal – with the ability to communicate with stakeholders at all levels.
  • Ability to manage and prioritise a busy workload.
  • Ability to work on your own initiative as well as part of a team.
  • Flexibility to cover extended hours when/if needed.

Main Duties and Responsibilities:

  • Collate, review and share data to internal/external partners, including statutory reporting, surveys, and information requests.
  • Manage the closure of monthly employee expenses, ensuring systems are up to date and accurate for processing by the finance team.
  • Serve as an integral member of the company, actively seeking out ways to best support the business.
  • Foster long lasting, trusting relationships with colleagues across the organization, working to gather information quickly using the appropriate channels.
  • Provide meeting support and management of logistics as needed, ensuring that you anticipate participant needs and create a positive and productive experience; organize and prepare meeting materials including agendas, presentations, and reports.
  • Maintain a follow up list, manage priorities and checklists to ensure that multiple priorities are handled seamlessly.
  • Follow up on or redirect external outreaches as needed.
  • Exercise outstanding judgment in prioritizing and managing matters in a way that reflects the priorities.
  • Serve as a trusted partner, raising issues and concerns or conflicts and suggesting solutions.
  • Other projects and duties as assigned.
