Ashton Recruitment require 2 Assistant Transport Co-Ordinator’s for our client based in Airport Road area of Belfast.
Position: Assistant Transport Co-Ordinator
Location: Belfast
Duration: Permanent
Pay Rate: £24,000 – £26,000 per annum
Hours of work: Monday to Thursday 7.30am to 4.30pm and Friday 7.30am to 1.30pm
Duties will include:
- Handle incoming queries from customers regarding delivery times, PODs (proof of delivery), delays, or order issues with professionalism and clarity.
- Track shipments, update clients proactively on delivery status, and resolve customer issues efficiently to maintain a high standard of service.
- Accurately process transport documentation (delivery notes, collection forms, compliance logs), input data into transport systems and maintain digital and physical filing systems.
- Act as a liaison between the customer service team, warehouse and drivers to ensure a joined-up service approach.
- Issue route schedules, delivery instructions and compliance checklists at the beginning of shifts. At the end of the day, review completed runs, collect documentation and report any issues.
- Act as a point of contact for drivers who encounter delays, routing problems or customer disputes while on the road.
- Monitor and log driver hours, tachograph data and vehicle checklists in line with DVSA (Driver & Vehicle Standards Agency) requirements.
- Quickly address any vehicle breakdowns, missed deliveries or route disruptions by coordinating with maintenance or rerouting as needed.
- Support the Transport Manager in mapping efficient routes across Greater Belfast, factoring in known congestion areas, construction zones and time-sensitive customer requirements.
- Liaise with local third-party haulage providers and subcontractors when extra capacity is needed or when covering driver shortages.
- Quickly respond to routing issues by suggesting alternative roads or collection points based on local knowledge.
Essential Criteria:
- A minimum of 1 years’ experience in a customer-facing role, preferably within a transport, logistics, or supply chain environment.
- Experience in handling transport-related paperwork such as delivery notes, route sheets, or proof-of-delivery (POD) documents, with high attention to detail and accuracy.
- Previous experience liaising directly with delivery drivers, including issuing instructions, resolving route or delivery issues, and conducting pre-/post-shift debriefs.
- Familiarity with key routes, industrial estates, and logistical hubs across the Greater Belfast area, with an understanding of common traffic patterns and regional delivery challenges.
- Clear and professional verbal and written communication skills for engaging with drivers, customers, and internal teams.
- Ability to respond quickly to operational issues such as missed deliveries, route delays, or vehicle breakdowns with practical and efficient solutions.
- Competence in using Microsoft Office (particularly Excel and Outlook) and/or transport management systems (TMS) for data entry, tracking, and communication.
- Demonstrated ability to work collaboratively in a fast-paced environment, supporting senior transport staff and working closely with warehouse or dispatch teams
